Description

As an Office Coordinator, you will play a vital role in ensuring the smooth functioning of company offices by managing administrative operations, facilitating effective communication, supporting office expansion, and providing essential assistance to executives and teams.

Responsibilities

Administrative Support and Office Management (40%)

  • Office Operations: Oversee and coordinate daily activities across our three offices to ensure efficiency and adherence to company policies.
  • Documentation Management: Handle the preparation, signing, scanning, archiving, and distribution of documents via electronic and postal services.
  • Equipment Maintenance: Ensure proper functioning of office equipment by scheduling preventive maintenance, arranging repairs, and managing equipment inventories.
  • Issue Resolution: Record and address technical and operational issues in collaboration with relevant departments.

Communication and Coordination (25%)

  • Internal and External Communication: Maintain polite and professional communication with internal and external stakeholders via email, phone, and in-person interactions.
  • Meeting and Event Coordination: Organize and coordinate meetings and events, manage schedules, send calendar invitations, and prepare meeting venues.
  • Minutes and Reporting: Draft, review, and disseminate meeting minutes and reports as needed.
  • Translation Services: Translate and prepare letters and documents in Armenian, Russian, and English; assist with translations during meetings and visits.

Office Procurement and Expansion Coordination (20%)

  • Work closely with the Procurement Officer to manage the purchasing of necessary office supplies and equipment according to pre-approved procurement procedures.
  • Monitor and maintain inventory levels of office supplies across all locations.
  • Manage new office setup processes in the event of staff increases, ensuring timely and efficient expansion across our three offices.
  • Ensure that all office facilities are properly maintained and meet the needs of employees.

Executive and Team Support (15%)

  • Arrange relocation logistics for guest experts working with our team, including accommodation and transportation.
  • Organize travel accommodations for senior staff, including booking flights, hotels, and transportation.
  • Assist in onboarding new employees and provide general support to the team to enhance productivity.

Requirements

  • Bachelor's degree in Business Administration or a related field.
  • Minimum of 3 years in office coordination or administration.
  • Excellent communication skills in Armenian, Russian, and English.
  • Proficiency in MS Office Suite.
  • Strong organizational, multitasking, and problem-solving abilities; ability to work collaboratively in a team.

The Information Systems Agency of Armenia (“ISAA of Agency”) is responsible for ensuring the technological foundations and development of the digital society in RA. This new institutional setup has been launched to ensure Armenia’s digitization conforms to a unified national architecture, with the Agency providing the technical resources, organizational capabilities, legal/regulatory framework, and platform for collaboration needed for different state departments, as well as the private sector, to effectively implement this vision. To execute the society-level transformation, the Government and the Central Bank of Armenia have agreed that, under the leadership of the Government, the Central Bank will serve as the implementing agency and co-finance the endeavor for the next 2-3 years (with the overall reform taking up to 5 years), working in close collaboration with the Ministry of High-Tech Industry. The Government leadership role will be provided by the new Information Systems Management Board, which has been established by the Prime Minister Decree chaired by the Deputy Prime Minister, who also serves as the Chief Information Officer (“CIO”) of Armenia. The CIO is responsible for developing the digitalization policy, launching development initiatives (locally and with international cooperation), managing the digital services portfolio and strategy, managing the public service delivery policy and reforms, ensuring a common approach among all stakeholders, and coordinating the processes of international funding and cooperation. The Central Bank provides the secretary function to the Board and, as an interim solution, the ISSA has been established under the auspices of the Central Bank. The Agency will also house the Civilian Cybersecurity Operating Center and Cybersecurity Emergency Response Team, and will over time develop into a full-fledged regulatory and supervisory body of the digital infrastructure.
