Job Title: Office Manager
Description
We are seeking a proactive Office Manager to support our executive team and ensure the smooth day-to-day running of our office. The ideal candidate will be highly organized, detail-oriented, and able to handle a variety of administrative and operational tasks in a dynamic business environment.
Responsibilities
- Arrange and coordinate meetings, including scheduling, preparing agendas, and servicing meetings.
- Answer and route phone calls; respond to general inquiries.
- Follow up on executive tasks via email and other communication channels.
- Maintain and update the company’s document register and filing systems.
- Complete forms and applications for company counteragents (e.g., KYC forms, bank applications).
- Organize document logistics, including collection and delivery to government agencies or other parties as instructed by lawyers.
- Arrange documents for signature by executives and ensure timely execution.
- Coordinate business trips, including travel arrangements and itineraries.
- Provide general administrative support to executives and staff.
Requirements
Education

High school diploma or equivalent required; Associate degree or higher preferred.
Work Experience

Minimum 2 years of experience in office administration or executive assistance.
Skills and Qualifications
- Excellent organizational and multitasking abilities.
- Strong written and verbal communication skills in English (mandatory).
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Experience with document management and basic compliance procedures (e.g., KYC, bank forms).
- Ability to handle sensitive and confidential information.
Nice-to-Haves
- Previous experience working with legal documents or in a legal environment.
- Familiarity with travel arrangements in the UAE and GCC region.
- Knowledge of Russian or Arabic is a plus.
Additional Notes
- Occasional business travel (GCC/CIS) required.
- Must be comfortable handling document delivery and pick-up tasks, including visits to government agencies.
- Flexibility and a proactive approach are highly valued.
Working Schedule

Full-time position, Monday to Friday, 9:00 AM – 6:00 PM (with flexibility for business travel and urgent tasks).
